Administrative Coordinator (Part-time)

The San Diego Psychoanalytic Center (SDPC) is seeking a part-time Administrative Coordinator to join our small nonprofit team. This position supports the day-to-day operations of the Center, including coordinating programs and events, assisting with communications, and helping maintain a welcoming environment for our community of mental health professionals and trainees.

Job Summary:

The Administrative Coordinator provides comprehensive support to the Executive Director, assisting with all operational, administrative, and program activities. Responsibilities include supporting continuing education events, fundraising efforts, training program admissions and open houses, website and social media content, and serving as a friendly in-person point of contact for members, candidates, volunteers, and the public.

Essential Duties and Responsibilities

Key Responsibility: Executive Director Support:

  • Provide administrative support across all areas of the Executive Director’s responsibilities
  • Assist with scheduling, correspondence, document preparation, and follow-up
  • Help implement organizational priorities and initiatives under the direction of the Executive Director
  • Maintain organized workflows and handle sensitive information with discretion and confidentiality
  • Handle sensitive information with discretion and confidentiality
  • Perform other duties as assigned 

Other Responsibilities (as needed)

Operational:

  • Serve as a warm, professional, and welcoming presence for candidates, faculty, members, and guests, reflecting SDPC’s collegial and respectful community culture.
  • Support the educational mission of the San Diego Psychoanalytic Center by assisting with event logistics, including check-in, check-out, responding to inquiries, and coordinating deliveries for lectures, seminars, and community programs.
  • Manage and maintain the SDPC master calendar, ensuring accurate coordination of courses, supervision schedules, study groups, committee meetings, and special events.
  • Maintain organized, confidential candidate files in accordance with professional, ethical, and organizational standards.
  • Process candidate and graduate records requests with discretion, accuracy, and timeliness.
  • Assist in the planning and execution of center events, including graduation, holiday gatherings, open houses, and member meetings.
  • Maintain and update committee manuals, policy documents, operational guides, and accreditation-related materials to support institutional continuity.
  • Monitor office supply inventory and proactively order materials to ensure smooth day-to-day operations of the Center.
  • Support communication between faculty, fellows, candidates, board members, and committees to promote clarity and collaboration across the organization.

Training Program Administration:

  • Support the administration of the training program in coordination with the Executive Director
  • Coordinate course schedules, faculty communications, and classroom logistics (virtual and in-person)
  • Maintain candidate records and track enrollment and program requirements
  • Distribute syllabi, course materials, and program communications
  • Assist with training program admissions and coordinate open houses
  • Assist with onboarding new candidates
  • Support candidate communications and ensure smooth administrative processes

Membership Management:

  • Maintain accurate membership records and database systems
  • Manage dues tracking, renewals, and membership status updates
  • Prepare membership communications and support member engagement efforts
  • Respond to member inquiries in coordination with the Executive Director

Programs & Events Coordination:

  • Organize and coordinate logistics for educational programs, study groups, and continuing education events
  • Manage registration systems, attendance tracking, and program materials
  • Support Zoom sessions and virtual event logistics
  • Provide on-site coordination for in-person events as needed
  • Ensure timely post-event documentation and communications

Fundraising Support:

  • Assist the Executive Director with implementing fundraising strategies
  • Coordinate on-site fundraising events and activities
  • Maintain donor relationships, track contributions, and prepare reports

Website and Communications:

  • Assist with updating and maintaining website content
  • Implement website changes as directed by the Executive Director or President
  • Create social media posts and design digital advertisements using Canva
  • Ensure website and social media content is accurate, current, and aligned with organizational initiatives

Qualifications:

  • Education: Bachelor’s degree preferred.
  • Experience: At least two years of prior experience supporting a senior executive or leadership team.
  • Ethics & Integrity: Demonstrates a high level of professionalism and ethical standards, with a strong commitment to confidentiality, discretion, and adherence to applicable policies and regulatory requirements.
  • Previous experience in psychoanalytic, therapy, or mental health-related organizations is a plus.
  • Highly organized with demonstrated organizational, analytical, critical-thinking, and problem-solving skills
  • Excellent written and verbal communication skills
  • Task-oriented with the ability to manage multiple projects with competing priorities; Proven ability to anticipate deadlines and manage multiple, competing priorities.
  • Good technological skills, including Microsoft Office (Excel), Google Workspace (Docs, Sheets, Slides, Drive), Zoom, project management software (Asana, Monday.com, or similar), and basic website editing (Drupal/WordPress)
  • Experience with social media platforms and CRM systems used to support administrative and communication-related tasks.
  • Adaptable, reliable, and able to work both independently and collaboratively
  • Comfortable supporting a wide range of operational needs
  • Experience in nonprofit, educational, or professional membership organizations preferred
